Contracting party File

nZoom can maintain automatic files for each contracting party, where all associated documents and records can be registered. The system can differentiate different types of contracting parties (client, potential client, institution), and for each of them, it stores specific information tailored to their needs. Additionally, the system keeps contact information for each  contracting party, including phone, fax, email, address, and the option to associate multiple offices and contact persons. Different characteristics can be defined for each type of client, allowing segmentation of clients based on these characteristics.

Project Financing

This module includes the ability to tag clients who have expressed an interest and are eligible to participate in projects managed by various institutions (Ministry of Interior, Ministry of Health, National Innovation Fund, National Institute of Research and Development, Bulgarian Small and Medium Enterprises Promotion Agency).

The module enables the generation of a list through a report of all eligible beneficiaries for a specific project, marked for the respective institution, and the sending of a notification letter about an upcoming procedure.

Projects and Tender Procedures

The module manages the process of reviewing and evaluating published procedures in connection with the management of each individual project, including submitting for approval to the Managing Authority, decisions by the Managing Authority, publishing tender procedures, etc. The system provides reminders for upcoming deadlines at various stages. For each project, in addition to its stages, there is also brief information about the procedure's results, allowing for an analysis of activities and outcomes across all projects. Files related to each project stages can be attached to it.

Inquiries

The system records all inquiries and potential deal opportunities from clients. This enhances organization and, consequently, increases success in acquiring new clients. It offers the ability to track the best sources of new clients, reasons for rejection, and more.

Quotations

Quotations can be created based on meetings conducted and inquiries entered into the system. They can be easily managed through various statuses, such as processed, sent to the client, approved, rejected, and more. The system also allows tracking their execution. Each quotation can have files attached to it. All quotations form a register of quotations, from which information about their current status can be quickly and easily obtained.

Sales Campaigns and Calls

The system can integrate with mass mailing systems to conduct segmented marketing campaigns. Salespeople register all the activities (meetings, calls, etc.) that they carry out on different sales campaigns.
The module makes it possible to track all calls and their results within a campaign and to analyze its progress. A campaign progress report shows all calls for a specific time period of an employee, campaign, or all calls with a follow-up step.

Meetings Organization

  • Option to use a unified calendar within the entire organization to track and coordinate meetings, appointments, follow regular events, reminders of upcoming appointments, etc. You can also set reminders related to tasks.
  • The system has a module for entering the minutes of meetings with clients. You can describe the topics of a meeting and the system can automatically create a task for an employee, with a deadline entered in the minutes.

Tasks and Time Reporting

The system allows tasks to be assigned to the team and tracks their execution, as well as reporting on the progress made. Tasks can be created manually or automatically triggered by specific events (regular tasks, tasks from meeting protocols, tasks based on status changes, or document expiration).

Contracts

You can register signed service contracts with customers against a fixed fee. Based on the contract's defined terms, the system can automatically, or after approval by the responsible person, create an invoice, generate a PDF file, and send it to the financial contacts on the customer's side. Changes to contractual agreements concluded with a retroactive date can generate debit or credit notifications for invoices already issued.

Finances

  • In addition to the contracts, you can register and invoice one-off orders of customers who have no subscription service contract.
  • Issuing invoices and all other financial documents and tracking payments on them.
  • Inquiries to track amounts owed, uncollected amounts by their statute of limitations and mass sending of official personalized letters to the incorrect companies.
  • Keeping bank accounts and tracking their balances and reporting on the financial flow in the organization over a period of time.
